The 20-minute client onboarding that makes you look like an agency

Most freelancers onboard clients inside a chaotic email thread. Questions get answered twice, scope gets agreed nowhere, and the first invoice goes out three weeks late because nobody defined when 'done' happens. The fix is not more effort — it is a fixed sequence you run the same way every time.

Here is the sequence. Total time: about twenty minutes per new client, most of it copy-paste.

Step 1: Send the questionnaire before the call

A short discovery questionnaire — goals, audience, deadline, budget range, decision maker — does two jobs. It arms you for the first call, and it quietly signals that you have a process. Clients who fill it in are serious; clients who won't answer six questions were never going to pay the deposit.

Step 2: The welcome email that sets the rules

One email after the yes: what you will deliver, how many revision rounds are included, when invoices land, and how you like to communicate. Putting the rules in writing on day one is what prevents the awkward conversation on day thirty.

Step 3: Invoice like you have done this a hundred times

Deposit first, clear line items, a due date with a late-fee clause, and a reminder schedule you never have to think about. Getting paid stops being emotional the moment your paperwork looks routine.
